Booking terms and cancellation policy

VirtualRealm booking, payment, cancellation, and rescheduling terms.

These terms apply to bookings made for VirtualRealm in Ādaži. By making a booking, the customer agrees to these terms.

This page reflects the current website flow. If you later want a stricter automatic refund or reschedule policy, that can be introduced separately.

1. Making a booking

  • A booking request is made by choosing the service, duration, date, time, and entering contact details.
  • All services are confirmed without a security deposit or advance reservation payment.

2. Prices and payment

The amount shown in the calendar and booking summary is the approximate total service price.

No advance payment is required to send or confirm a booking request.

  • Payment for the service follows the process stated by VirtualRealm and agreed with the customer.

3. Cancellation and rescheduling

A booking can be cancelled through the cancellation link sent in the confirmation email or by contacting VirtualRealm directly.

Cancelling on the website releases the time slot.

Rescheduling depends on availability.

  • There is currently no automatic 24-hour or 48-hour refund cutoff configured on the website.
  • If you want to move a booking, contact us as early as possible — rescheduling depends on availability.

4. Late arrival and no-show

  • If you expect to be late, contact us as soon as possible.
  • VirtualRealm will try to keep the booking, but cannot guarantee the full booked time if the customer arrives late.
  • If the customer does not arrive and does not contact us, the booking may be treated as a no-show.
  • Refunds or credit for a no-show are not automatically guaranteed and are handled manually.

5. Changes or cancellation by VirtualRealm

If VirtualRealm cannot provide a confirmed booking for reasons on our side, we will contact the customer to agree a new time.

6. EU withdrawal rights

To the extent permitted by applicable law, bookings for leisure activities provided on a specific date or at a specific time may fall outside the standard 14-day withdrawal right.

This does not affect any mandatory consumer rights that apply under applicable law.
